Laptop Checkout
 

  1. Give Laptop Agreement Form to patron EACH time they check out a laptop

  2. Get laptop/charger

  3. Agreement Form

    • Staff: Fill out laptop number at top & initial at bottom

    • Patron: Students should acknowledge their responsibility to return it on time and to take care of the laptop

      • Have patron check over the laptop and note any issues (scratch & dent). 

        • If there are major issues (cracked screen or case, large dent) that are NOT noted in Alma, then set that laptop aside & get another laptop for the patron. 

      • Patron initials & signs where needed

  4. Check Out both laptop and power brick in Alma

  5. User log in & WiFi

    • Plug in the ethernet cable to connect the laptop to the network. 

    • Student logs in - username is full email address and password for both Mac and PCs

      • Troubleshooting: Try restarting the computer while connected to ethernet if initial login fails

    • WiFi: 

      • Go to Wifi settings and have them connect to Eduroam wifi using their full email address and password

      • Verify wifi

        • Unplug ethernet cable

        • Open a web page

  6. Place signed Laptop Agreement in Equipment Room

Problem Laptop? If you find a laptop with issues, make sure to send a Tech Problems email and set the laptop aside with a note for Tech Services

We now have an updated version of the laptop agreement forms.  The updated file can be found at H>Circulation>ORIGINALS Binder>Equipment Agreement Forms.  Copies can also be made from the master in the filing cabinet.  

The new format has several items the patron will need to initial, as well as space for them to note any damage to the laptop.  There is also a line at the top to take down the laptop type (PC/Mac) and the laptop number, as well as a staff initial at the bottom.  Because each form is laptop specific, we will now need to have patrons fill out a new form every time they check out a laptop.

Because the responsibility of checking for any damage is now shifted to the patron, we no longer need the laptop check out/in clipboard

If there are any major damages that are not already noted in Alma, or if you are unsure if something has an issue, please put the laptop on the “equipment problems” cabinet and check out a different laptop to the patron. 

Please look over the new form and let me know if you have any questions on the new process.

Reserves Labels

  • Books/DVDs on Reserve will now have a paper band around the cover instead of stickers on the front.
    • The current stickers no longer stick well
  • Make sure to press down on any labels still remaining on the items before giving to patron

Video Game Consoles Check In

  • All Video Game consoles should go into the new Equipment cube when they are returned
  • Tech Services folks will monitor the cube, check the consoles, and put them in the Equipment room when they are ready for checkout 
  • If another patron wants to check out the console right away, Patty, Branden, or Gwen can look over the equipment. Call/message/send Tech Problems email.

iPad Check In

  • Place these in the new Equipment cube when they are returned
  • Tech Services folks will monitor the cube, reset the iPads, and put them in the Equipment room when they are ready for checkout

Lost & Found: Each item needs a note with a date, location where item was found, and staff initials. Blank notes are at Circ desk and with Lost & Found.

  • Hawkcards - email the person immediately to let them know and put card in the safe, after 1 week, these go to Hawkcard office
  • Valuables - Phones, wallets, and other valuables should go in the safe. If you can tell who owns the item, try your best to contact them

Public Printer Paper for Alcove and Circ Printers:

  • Load paper only in the right-hand side of the drawer
  • Make sure the paper is tightly aligned to the right side and guides are flush with the paper

All Printers:

  • Do not overfill paper — leave some space between the paper and paper fill line

Locations:

  • Video Games Filing Cabinet is in front of the Equipment cube
  • Rockband is under the desk of the Equipment cube
  • Legs & Arms on Reserve for Kinesiology are now on a shelf in the area with the other COEPS reserves
    • They “live” right before the toner shelves
  • Student workspace (& paper cutters) is in the center cubicles with clear sightlines to Circ desk
  • Tables/Space Reserved Signs and Testing signs are in the last cube
  • Shelf checking station and missing cards are now at the table in front of Jenna’s cube
  • Filing drawers with records of current and past Community Borrower Cards and older Student Bill Charge Slips are in the back of the Equipment cube

New Spaces for Spring 2025

 

  • Equipment testing space
    • The first cube behind the Circ desk has a monitor and space to test certain video game consoles/equipment when it comes back to the library. Place video game consoles & iPads in the cube when they are returned.
  • ILL/Resource sharing cubicle is now in Tech Services
    • The red box will arrive downstairs once the move is complete
    • Students doing the Picklist will bring cart to new location
  • Kennedy has moved into the vacated ILL cube
  • PR students have moved into Kennedy’s current cube
  • Last cube will be storage for PR and more workspace
